Reports To: Building principal, unless otherwise noted
Work Schedule: 7.5 hours per day, Monday through Friday, 52 weeks per year
Main Job Tasks and Responsibilities
- Manage and submit payroll for all Adult Education staff
- Maintain and track the Adult Education testing materials including managing and collecting monies received and maintaining financial information for testing materials and preparing necessary reports for submission
- With the oversight of the Directors, assist with budget preparation and submission of budget for managing funds
- Monitor the setting up of grants in the financial system; monitor the grants and appropriations per the grant budgets (follow all guidelines and deadlines) including account payable procedures and computerized bookkeeping systems
- Monitor the preparation of state grant expenditure reports, request for grants and monthly filing timelines
- Have a thorough understanding and ability to assist in registrations for HSE testing including the requirements for the test
- Prepare all monthly and year-end financial reports for grants and funds maintained for CTE & Adult Education
- Prepare, process, and manage all requisitions and purchase orders including ensuring all materials ordered are received and accurate
- Responsible for bank deposits, as needed and required
- Coordinate fundraising opportunities for all CTE staff including distribution of information and receiving monies
- Assist in billing for CTE program certifications
- Establish and maintain bookkeeping for extra-curricular accounts for CTE programs and staff
- Interact with appropriate agencies and auditors and coordinate audit process for accounts maintained and ensure that internal controls are followed
- Prepare donation collection letters and receipt
- Maintain and track all uniforms distributed to CTE students
- Assist with textbook adoptions including but not limited to ordering materials; maintaining adequate supplies and distribution to CTE programs
- Assists with updating CTE materials for distribution including brochures, flyers, and any other materials needed
- Use all methods of accounting and reporting as per the State Board of Accounts and Finance Office of Michigan City Area Schools
- Order and maintain copy machines for the buildings and general office supplies for programming including managing vending machines
- Monitor entrance doors
- Provide administrative support to the building administrators
- All reasonable and other duties assigned by directors
Education and Experience
- High School Diploma or equivalent
- Demonstrates strong interpersonal skills
- Maintains professional and friendly demeanor and ability to work well with a diverse population
- Knowledge of accounting fundamentals, manual and computer accounting methods, and general office procedures, preferred
- Highly organized and detail-oriented
- Ability to manage time efficiently and multi-task effectively
- Demonstrates strong writing and editing abilities with the ability to communicate clearly and effectively
- Maintain confidentiality at all times
- Strong computer knowledge and general office procedures
- Previous administrative assistance experience, preferred
Salary and Benefits
Payment Type: $13.52
